Where Protected Health Information is involved, A1 Renew operates as a Covered Entity under HIPAA and applies administrative, physical, and technical safeguards required by federal law. In the event of any conflict between this Privacy Policy and applicable law, the stricter standard shall apply.

We may use AI-assisted documentation tools to assist clinicians in generating clinical notes during or after patient encounters. These tools:

  • Operate within HIPAA-compliant environments

  • Do not independently make medical decisions

  • Are reviewed and verified by licensed healthcare providers

  • Are used solely to enhance documentation efficiency and accuracy All final medical decisions are made exclusively by licensed clinicians.

6. Data Security and Safeguards

A1 Renew implements administrative, technical, and physical safeguards consistent with HIPAA Security Rule requirements, including:

  • End-to-end encryption of telehealth sessions

  • Encrypted data transmission (SSL/TLS)

  • HIPAA-compliant EHR systems

  • Access controls and role-based permissions

  • Workforce training on privacy practices

  • Secure data hosting environments

  • Business Associate Agreements (BAAs) with vendors

  • Regular system monitoring and risk assessments

7. Disclosure of Information

We may disclose information:

  • To healthcare providers for treatment purposes

Non-medical website data is retained only as long as reasonably necessary for business and legal purposes.

  • Enhance user experience Users may adjust browser settings to refuse cookies; however, some features may not function properly. We do not use tracking technologies to access PHI.

A1 Renew provides services in multiple jurisdictions. We comply with the telehealth, licensure, and medical privacy laws applicable in each state where services are delivered.

13. Children’s Privacy

We do not knowingly collect information from individuals under 18 without appropriate parental or legal guardian consent, consistent with applicable law.

14. Changes to This Policy

We reserve the right to update this Privacy Policy. Updates will be posted on this page with a revised effective date.

A1 Renew, LLC (“A1 Renew,” “we,” “us,” or “our”) is required by law to:

4. Telemedicine Services

As a telemedicine provider, we may use secure, HIPAA-compliant platforms to deliver care. Telehealth sessions may involve:

  • Electronic exchange of medical information All telehealth systems are encrypted and HIPAA-compliant.

Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the Text Message services.

5. AI-Assisted Documentation

We may use HIPAA-compliant AI-assisted tools to support clinical documentation.
These tools:

  • Operate within secure, encrypted systems

  • Do not independently diagnose or treat

  • Are reviewed and verified by licensed providers

  • Are used solely to improve documentation accuracy and efficiency Final medical decisions are always made by a licensed clinician.


6. As Required by Law

We may disclose your PHI when required by:

  • Federal or state law

  • Court order or subpoena

  • Public health reporting requirements

  • Law enforcement requests (when legally valid)


7. Public Health and Safety

We may disclose PHI:

  • To report communicable diseases

  • To prevent or lessen a serious threat to health or safety

  • To government agencies overseeing healthcare systems


8. Business Associates

We may share information with third-party vendors who perform services on our behalf (e.g., EHR providers, payment processors). All such vendors are required to sign HIPAA-compliant Business Associate Agreements (BAAs).

Uses Requiring Your Written Authorization

We will obtain your written authorization for:

  • Marketing communications involving PHI

  • Sale of PHI

  • Most disclosures of psychotherapy notes (if applicable)

  • Any other use not described in this Notice You may revoke authorization at any time in writing.


Your Rights Regarding Your Health Information

Under HIPAA, you have the following rights

1. Right to Access

You may inspect or obtain a copy of your medical records. Requests must be made in writing. We may charge a reasonable, cost-based fee as permitted by law.

2. Right to Amend

If you believe information in your record is incorrect or incomplete, you may request an amendment.
We may deny your request in certain cases but will provide a written explanation.

3. Right to Request Restrictions

You may request restrictions on how we use or disclose your PHI. We are not required to agree to all requested restrictions, except when required by law.

4. Right to Confidential Communications

You may request that we contact you in a specific way (e.g., different phone number or email). We will accommodate reasonable requests.

5. Right to an Accounting of Disclosures

You may request a list of certain disclosures made outside of treatment, payment and operations

6. Right to a Paper or Electronic Copy of This Notice

A1 Renew implements safeguards consistent with the HIPAA Security Rule, including:

Mobile Terms

Messages related to your account, orders, services, appointment reminders, marketing and promotional messages may be received. Frequency may vary.

  1. You can cancel the SMS service at any time. Just text “STOP”. After you send the SMS message “STOP” to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.

  2. If you are experiencing issues with the messaging program you can reply with the keyword HELP for more assistance, or you can get help directly at {support email address or toll-free number}.

  3. Carriers are not liable for delayed or undelivered messages

  4. As always, message and data rates may apply for any messages sent to you from us and to us from you. Message frequency varies. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.

  5. If you have any questions regarding privacy, please read our privacy policy


Breach Notification

If unsecured PHI is compromised, we will:

  • Conduct a risk assessment

  • Notify affected individuals without unreasonable delay

  • Notify the U.S. Department of Health & Human Services as required

  • Comply with applicable state notification laws


Multi-State Compliance

A1 Renew provides services in multiple jurisdictions. We comply with:

  • State medical privacy laws

  • Telehealth regulations

  • Record retention requirements

  • State-specific patient rights provisions
    When state law provides greater privacy protection than HIPAA, we follow the stricter standard.


Changes to This Notice

We reserve the right to change this Notice at any time. Any revised Notice will:

  • Apply to all health information we maintain

  • Be posted on our website

  • Include a revised effective date
